1. General Information

These Terms & Conditions apply to all tours and services provided by Unique Norway Tours AS (“we”, “our”, “us”). By booking a tour, the customer (“you”, “the client”) agrees to these terms.

Our tours include Northern Light chases, Arctic landscape tours, snowshoe hikes, and private excursions operated in Tromsø and surrounding areas.

Bookings are made through Bokun, and payments are processed securely via Stripe.

2. Booking & Payment

• All tours must be booked through our official channels or approved partners.
• Full payment is required at the time of booking.
• All prices are stated in Euro (EUR) and include VAT (MVA) where applicable.
• If your card is billed in another currency, your card issuer’s exchange rate and fees apply.

3. Cancellations & Refunds

• Full refund for cancellations made 48 hours or more before the tour unless otherwise stated for third-party services.
• For tours, activities, accommodation, tickets, or services operated by third-party suppliers, the cancellation and refund policy of the respective supplier applies, and may differ from Unique Norway Tours AS’ standard policy.
• No refund is given for cancellations made after the applicable deadline, no-shows, or partially used services.
• If a tour or service is cancelled due to weather, safety concerns, force majeure, or operational reasons, the customer may be offered a refund or rescheduling subject to the operating supplier’s policy.
• Once a service has started (including pick-up, check-in, or ticket validation), it is considered consumed and non-refundable.

4. Northern Lights Disclaimer

The Northern Lights (Aurora Borealis) are a natural phenomenon and cannot be guaranteed.
Our guides always do their best to find clear skies and maximize your chances, but no refund is given if the Northern Lights are not visible during the tour.

5. Participant Responsibility & Safety

• Outdoor activities in Arctic conditions involve inherent risks, including slippery surfaces, cold temperatures, and changing weather.
• Participants must follow the guide’s instructions at all times.
• You must inform us in advance of any medical conditions or allergies that could affect participation.
• We reserve the right to refuse participation without refund if a guest is unfit, intoxicated, disruptive, or refuses to follow safety instructions.
• Participants under 18 years old must be accompanied by a responsible adult.

6. Equipment & Vehicles

• Lost or damaged equipment due to negligence may be charged at replacement cost.
• Smoking or vaping is not allowed in our vehicles. Seat belts are mandatory.

7. Pick-up & Punctuality

• Please be ready 10 minutes before the stated pick-up time.
• A 15–30 minute pick-up window may apply depending on conditions and logistics.
• Failure to be present when the vehicle arrives is considered a no-show and is non-refundable.

8. Photos & Media

• Our guides often take photos during the tour. Web-sized photos may be shared after the tour where included.
• Unless you request otherwise in writing before the tour, you grant us a non-exclusive right to use group or scenic photos (non-sensitive) for promotional purposes.
• We respect privacy requests — close-up photos can be removed on request.

9. Liability & Insurance

• You participate at your own risk. Unique Norway Tours AS is not liable for loss, injury, or damage unless caused by gross negligence.
• Our liability is limited to the total amount paid for the booked tour.
• We are not responsible for indirect losses, such as missed flights or additional expenses caused by delays.
• We recommend that all guests carry travel and medical insurance covering outdoor activities.

10. Cancellations by Third Parties

Some tours, activities, accommodation, transport, or tickets sold by Unique Norway Tours AS are operated by third-party suppliers. In such cases, Unique Norway Tours AS acts as an intermediary/booking agent, and the third-party supplier is responsible for the delivery, execution, safety, and operational decisions related to their service.

The third-party supplier’s own terms and conditions, including cancellation, refund, rescheduling, and weather policies, apply in addition to these Terms & Conditions. Unique Norway Tours AS cannot override supplier policies and is not liable for changes, cancellations, or service failures caused by third-party providers.

Certain services, including but not limited to cable car tickets, gondola tickets, and attraction entrance tickets, are non-refundable once purchased, unless explicitly stated otherwise.

Date changes may be requested subject to availability and supplier approval, but are not guaranteed.

11. Privacy

We process personal data in accordance with GDPR and Norwegian privacy regulations.
Information is collected only for booking, communication, and delivery of tours and will not be shared with third parties except as required by law.

12. Governing Law

These Terms & Conditions are governed by Norwegian law.
Both parties will seek to resolve any dispute amicably before considering further action.
