1. General Information & Booking

These Terms & Conditions apply to tours and services sold or operated by Unique Norway Tours AS (“we”, “our” or “us”).

By completing a booking, the customer accepts these terms. The person making the booking is responsible for providing correct information and sharing relevant booking details and safety information with all participants.

Our services include Northern Lights tours, sightseeing tours, guided hikes, snowshoe tours, private excursions and other travel experiences in Tromsø, Senja, Lofoten and other destinations in Norway.

A booking is confirmed when the customer receives written confirmation from Unique Norway, Bókun or an approved booking partner. The customer must check the confirmation and notify us promptly of any incorrect dates, names, participant numbers or contact details.

Product-specific conditions displayed before payment form part of the booking. Separate written conditions may apply to customised tours, private groups and business bookings.

2. Prices & Payment

Full payment is normally required when booking unless otherwise agreed in writing.

Prices are displayed in the currency shown during booking and include applicable taxes and VAT. The customer’s bank or payment provider may apply currency conversion rates or additional fees.

Payments may be processed through Bókun, Stripe or an approved booking partner.

3. Customer Cancellations & Changes

For tours operated directly by Unique Norway Tours AS, customers receive a full refund when cancelling at least 72 hours before the scheduled starting time, unless another policy was clearly displayed before payment.

Cancellations made less than 72 hours before departure, no-shows and voluntarily unused parts of a tour are non-refundable, except where otherwise required by law. Cancellation requests must be submitted through the original booking channel or sent to hello@uniquenorway.com. A cancellation becomes effective when it is received.

Requests to change the date, participant names or number of participants are subject to availability and may be treated as a cancellation and new booking.

Bookings made through GetYourGuide, Viator or another reseller must normally be changed or cancelled through that platform. The cancellation policy displayed by the relevant platform applies.

Because our tours are leisure activities provided on a specified date, the ordinary 14-day right of withdrawal normally does not apply.

4. Changes & Cancellations by Unique Norway

We may reasonably change a route, starting time, meeting point, vehicle, guide, planned stop or duration because of weather, road conditions, ferry schedules, safety concerns or operational circumstances.

Changes that do not substantially reduce the overall experience do not normally qualify for a refund.

If we cancel a tour that we operate before it begins, the customer may choose between:

  • moving the booking to an available alternative date; or
  • receiving a full refund for the cancelled service.

Rescheduling is optional. Refunds will be returned to the original payment method without undue delay.

If a substantial part of a tour cannot be delivered after it has started, we will provide a reasonable alternative where possible. Any rights provided by applicable law remain unaffected.

We are not responsible for independently booked expenses such as flights, accommodation or onward transport unless required by law. We recommend suitable travel insurance.

5. Weather, Wildlife & Northern Lights

Tours in Northern Norway take place in an Arctic environment where weather, visibility, road conditions and ferry schedules can change quickly.

Exact routes, stops, scenery, snow conditions, weather and wildlife sightings cannot be guaranteed. The guide may adjust the itinerary when necessary for safety or to provide the best possible experience.

The Northern Lights are a natural phenomenon and cannot be guaranteed. Our guides use forecasts, local knowledge and current conditions to maximise the chance of seeing them.

If a Northern Lights tour is delivered as described but the aurora is not visible, no refund is provided solely because the Northern Lights were not seen.

If we cancel before departure because conditions are unsafe or there is no realistic chance of seeing the Northern Lights, the customer may choose between rescheduling and a full refund.

Some Northern Lights tours may cross into Finland. Customers must bring valid identification or a passport when this is stated in the product information.

6. Participation & Safety

Outdoor activities involve risks including cold temperatures, snow, ice, uneven surfaces, wind and changing weather.

Participants must follow the guide’s instructions, behave responsibly and wear suitable clothing and footwear.

Customers must review the activity level and participation requirements before booking and inform us in advance of relevant medical conditions, mobility restrictions, allergies or other circumstances that may affect safe participation.

We may refuse or end participation if a guest:

  • is intoxicated or under the influence of drugs;
  • behaves dangerously, aggressively or disruptively;
  • refuses to follow safety instructions; or
  • does not meet clearly stated participation requirements.

No refund will normally be provided when participation is refused or ended because of the guest’s own behaviour or failure to meet clearly disclosed requirements.

Participants under 18 must be accompanied by a responsible adult unless otherwise stated.

7. Pick-up, Vehicles & Equipment

Customers must check the confirmed meeting point and starting time and should be ready at least 10 minutes before departure.

Pick-up times may vary because of traffic, weather, road conditions or other guests. If a participant is not present at the confirmed place and time, the booking may be treated as a non-refundable no-show.

Tour durations and return times are estimates. Customers should allow sufficient time before flights, cruises and other onward arrangements.

Seat belts are mandatory. Smoking and vaping are not permitted in our vehicles.

Vehicles, thermal suits, snowshoes and other supplied equipment must be used responsibly. Deliberately or negligently damaged or lost equipment may be charged at its reasonable and documented repair or replacement cost.

Customers are responsible for their personal belongings.

8. Food & Allergies

Where food or drinks are included, this will be stated in the product description.

Customers must inform us of allergies and dietary requirements as early as possible. We will make reasonable efforts to accommodate notified requirements but cannot guarantee an entirely allergen-free environment.

Customers with severe allergies should contact us before booking.

9. Photos & Media

Our guides may take photographs during tours where photography is included. Participation in photography is voluntary, and we cannot guarantee a specific number or style of photographs.

Photos may be delivered privately through an online gallery, download link or another suitable method.

Identifiable photos or videos will not be used for advertising, social media or other promotional purposes without separate consent.

Marketing consent is voluntary, is not required to join the tour and may be withdrawn by contacting hello@uniquenorway.com. We will then stop future use and remove the material from channels under our control where reasonably possible.

Consent from a parent or legal guardian is required before identifiable photographs of children are used for promotional purposes.

10. Third-Party Services

Some tours, activities, transport, entrance tickets or other services sold through Unique Norway may be operated by independent suppliers.

Where we act as a booking agent, the operating supplier will be identified in the product information or booking confirmation. The supplier is responsible for delivering and operating its service, while Unique Norway remains responsible for its own booking services.

Supplier cancellation and refund conditions apply when they were clearly presented before payment.

Certain third-party tickets, including attraction, cable car and gondola tickets, may be non-refundable once purchased when this is stated before booking.

Requested date changes are subject to availability and approval from the supplier.

11. Liability & Insurance

Nothing in these terms excludes rights or liabilities that cannot legally be excluded.

Unique Norway Tours AS is responsible for providing the services we operate with reasonable care and skill. We do not exclude liability for personal injury caused by our negligence, intentional misconduct, gross negligence or any matter that cannot legally be restricted.

Subject to applicable law, we are not responsible for losses caused by circumstances outside our reasonable control, incorrect information provided by the customer, failure to follow instructions, late arrival or the customer’s own negligent or unlawful behaviour.

We are not responsible for missed flights, cruises or other onward arrangements unless the loss was directly caused by a breach for which we are legally responsible.

Customers should have travel and medical insurance covering cancellations, illness, injury, outdoor activities, transport disruption and personal belongings.

12. Privacy, Complaints & Governing Law

We process personal data in accordance with applicable Norwegian privacy legislation and the GDPR.

Booking information may be shared with payment providers, booking platforms, guides and operating suppliers where necessary to administer and deliver the service.

Further information is available in our Privacy Policy:

https://www.uniquenorway.com/privacy-policy

Complaints should first be raised with the guide so we have an opportunity to resolve the issue. Formal complaints should be sent to hello@uniquenorway.com and include the booking reference, date and description of the issue.

We will attempt to resolve disputes amicably. Eligible consumers may request mediation through the Norwegian Consumer Authority or another competent dispute-resolution body.

These Terms & Conditions are governed by Norwegian law. This does not remove mandatory consumer protection granted under applicable law.

If any provision is found to be invalid or unenforceable, the remaining provisions will continue to apply.
